Terms of Use of the PM RUN Platform and Mobile App
These Terms of Use govern access to and use of the web platform, the portal, the mobile app, and the features linked to PM RUN, a solution designed to support the management, execution, planning, mobility, integration, and traceability of industrial maintenance activities.
Use of PM RUN is intended for corporate customers, their employees, collaborators, service providers, operators, planners, administrators, approvers, managers, and other users previously authorized by the contracting company, in accordance with the profiles and permissions defined within the solution environment.
For the purposes of these Terms, PM RUN may be referred to as "PM RUN", "Solution", "Platform", "Portal" or "App". The legal entity responsible for making the solution available, managing it, and developing it will be referred to as "PM RUN/ITSS". The company that contracts the solution will be referred to as "Customer". The individual authorized to use the solution will be referred to as "User".
"PM RUN/ITSS" means the legal entity that owns, licenses, or is responsible for making the PM RUN solution available, as indicated in these Terms and/or in the agreement entered into with the Customer.
1. Acceptance, binding effect, and conditions of use
1.1. Access to or use of PM RUN, even in part, constitutes the User's reading, understanding, and acceptance of these Terms of Use, without prejudice to the conditions set forth in the agreement entered into between PM RUN/ITSS and the Customer.
1.2. If the User does not agree with these Terms, they must immediately stop accessing the solution and notify the Customer's administrator responsible for managing users and permissions.
1.3. These Terms must be read together with the PM RUN Privacy Policy, the Customer's internal policies, the operational manuals of the Solution, any annexes regarding security, support, SLA, licensing, integration, and data processing, and the applicable commercial agreement.
1.4. In the event of a conflict between these Terms and the agreement entered into with the Customer, the specific contracted conditions will prevail, especially with respect to scope, licensing, support, service levels, fees, responsibilities, integrations, customizations, enabled modules, and termination rules.
2. Purpose and scope of the solution
2.1. PM RUN is a corporate solution aimed at the digitalization, mobility, execution, planning, control, traceability, and integration of industrial maintenance routines, especially in environments that use SAP and maintenance, PCM, operation, inspection, planning, warehouse, safety, and asset management processes.
2.2. Depending on the contracted and enabled modules, PM RUN may support, among other features:
- creation, query, execution, confirmation, and monitoring of maintenance orders;
- creation and monitoring of maintenance notes or notifications;
- simplified execution entries, including start and stop logic when available;
- completion of operational checklists and safety, survey, or control forms;
- creation, request, monitoring, and approval of material reservations;
- approval workflows for reservations, final order confirmations, and safety forms;
- viewing, assembly, disassembly, replacement, and query of equipment and functional locations when authorized;
- reading via QR Code, query by hierarchy, list, or other available filters;
- recording of measurement points and documents, including with previously configured parameters and limits;
- upload, query, management, or storage of files, images, videos, PDFs, and other permitted documents;
- chat, operational communication, and message records between authorized users;
- geolocation of confirmations or operational actions, when enabled and authorized;
- integration logs, audit logs, access records, and traceability of actions;
- data synchronization between app, portal, integrators, and the customer's SAP environment;
- configuration of profiles, parameters, access, password policies, integrations, and the layout of the app/portal; and
- reports, panels, filters, dashboards, and exports linked to maintenance processes.
2.3. Not all of the described features will necessarily be available to all customers or users. Access will depend on the agreement entered into, the version of the solution, the technical environment, the enabled integrations, the contracted modules, the configurations performed, and the authorization profile granted to the User.
2.4. PM RUN is a tool to support the management and execution of processes. The Solution does not replace the technical, operational, occupational safety, environmental, regulatory, maintenance, engineering, asset management, or decision-making responsibility of the Customer and its qualified professionals.
2.5. Specific, accessory, optional, experimental, customized, or non-standard features of the Solution, including but not limited to geolocation, chat, upload or storage of videos, maps, notifications, additional integrations, automations, specific reports, customized workflows, offline features, special permissions, and other complementary features, will only be available and active when they are technically made available by PM RUN/ITSS, expressly contracted, configured, authorized, or enabled for the Customer, in accordance with the applicable agreement, the project scope, the licensed modules, the environment settings, and the access profiles granted to the Users.
3. Registration, corporate account, and access profiles
3.1. Access to PM RUN depends on prior registration, authentication, authorization, and profile definition, in accordance with the parameters defined by the Customer, by its administrators, and by any integration environments that may exist.
3.2. The User may have access to the Portal, the App, or both, according to the authorization profile created by the Customer or by an authorized administrator. The profile may delimit screens, features, and permissions to read, edit, approve, create, delete, synchronize, view, export, and other permitted actions.
3.3. The Customer is responsible for requesting, validating, granting, reviewing, blocking, revoking, and keeping the access profiles of its users up to date, including in cases of hiring, change of role, termination, change of area, replacement of a service provider, contract termination, or risk of misuse.
3.4. The User must use only their own account and credentials, and it is prohibited to share a login, password, token, device, session, certificate, SAP credential, access profile, or any other means of authentication with third parties.
3.5. The User is responsible for keeping their credentials confidential, using secure passwords, observing the Customer's policies, and immediately reporting any suspicion of improper access, loss of a device, compromise of credentials, unauthorized use, relevant operational error, or security incident.
3.6. PM RUN/ITSS may, subject to the contractual conditions and the Customer's instructions, suspend, block, or limit access when there is reasonable evidence of misuse, security risk, violation of these Terms, a request from the Customer, a legal order, an authentication failure, anomalous behavior, or a need to preserve the integrity of the Solution.
4. Acceptable use rules
4.1. The User must use PM RUN exclusively for professional, legitimate, and authorized purposes linked to the Customer's activities.
4.2. The User undertakes to:
- enter true, complete, up-to-date information consistent with the operational reality;
- record technical data, photos, videos, documents, entries, confirmations, measurements, and justifications in a complete and faithful manner;
- comply with the Customer's internal procedures, including occupational safety, environmental, maintenance, quality, engineering, and integrity standards;
- use only the features, equipment, orders, notes, reservations, documents, and environments to which they have authorized access;
- check the information before synchronizing, approving, closing, confirming, rejecting, attaching, exporting, or sending data to SAP or to authorized third parties;
- preserve the confidentiality of the industrial, technical, commercial, operational, and strategic information accessed through PM RUN; and
- report to the Customer and through the indicated channels any error, failure, inconsistency, incident, suspected fraud, misuse, vulnerability, or improper exposure of information.
4.3. The User is prohibited from:
- using PM RUN for personal, unlawful, fraudulent, abusive, discriminatory, offensive, improperly competitive, or out-of-scope purposes;
- entering false, tampered, incomplete, or deliberately inconsistent data with respect to the reality of maintenance execution;
- altering, deleting, manipulating, or circumventing records, logs, evidence, approvals, confirmations, checklists, measurements, attachments, or documents in order to conceal failures, delays, incidents, non-conformities, or responsibilities;
- sharing credentials, bypassing access controls, accessing a third party's account, or impersonating another user;
- performing reverse engineering, unauthorized copying, decompilation, exploitation of vulnerabilities, scanning, scraping, unauthorized testing, interception, or attempting to access the source code, database, APIs, integrations, infrastructure, or environment of the Solution;
- introducing viruses, malware, scripts, malicious files, unlawful content, or materials that compromise the security, availability, integrity, or performance of the Solution;
- using chat, attachments, or free-text fields for offensive messages, harassment, threats, discriminatory content, excessive data, unnecessary sensitive data, third-party secrets, or information unrelated to the operational process;
- using images, videos, geolocation, or documents to expose people, facilities, restricted areas, industrial secrets, or confidential information without authorization; and
- attempting to alter parameters, integrations, profiles, password policies, URLs, integrator credentials, or critical settings without express authorization.
5. Customer responsibilities
5.1. The Customer is responsible for decisions about its maintenance process, for the operational content entered into PM RUN, for defining profiles, for reviewing access, for guiding its users, for validating data sent to SAP, for the governance of its environments, and for the adherence of its routines to the applicable technical, regulatory, and internal standards.
5.2. The Customer is also responsible, as applicable, for:
- ensuring that only authorized persons use PM RUN;
- designating administrators responsible for the registration, blocking, deletion, and review of users;
- keeping its infrastructure, network, devices, SAP, integrators, permissions, connectivity, certificates, and technical environments in adequate operating conditions;
- evaluating and approving configurations, workflow rules, authorization levels, forms, password policies, geolocation, chat, attachments, synchronization, and logs;
- guiding its users on the correct use of the solution, including regarding technical records, information security, and data protection;
- complying with the legal, labor, regulatory, environmental, occupational safety, engineering, and maintenance obligations related to its operation; and
- obtaining, when necessary, legal bases, permissions, and communications to data subjects for data processing under its responsibility.
5.3. PM RUN/ITSS is not responsible for operational decisions, process failures, lack of internal training, misuse by the Customer's users, erroneous configurations requested or approved by the Customer, incorrect data entered by users, failures in the customer's SAP environment, network unavailability, unmanaged devices, integration errors arising from a third-party environment, or non-compliance with the Customer's internal standards.
6. Integration with SAP, portal, app, and synchronization
6.1. PM RUN may operate integrated with the Customer's SAP environment, including through integrators, services, URLs, APIs, PI, CPI, SOAMANAGER, or other components defined in the technical project and in the applicable agreement.
6.2. The information created, altered, or synchronized in PM RUN may reflect or impact records in SAP, including orders, notes, confirmations, reservations, equipment, functional locations, measurements, attachments, statuses, logs, and other technical or operational documents.
6.3. The User must take special care before confirming, closing, approving, rejecting, synchronizing, attaching, deleting, withdrawing a reservation, changing a status, creating a note, creating an order, or performing any action that may have effects on SAP or on the Customer's internal processes.
6.4. When there is offline use or limited connectivity, the actions performed may remain pending synchronization until there is a connection, technical availability, valid authentication, and an environment suitable for transmitting the data. The User and the Customer must monitor logs, statuses, and any synchronization failures.
6.5. PM RUN/ITSS does not guarantee that data entered in an offline environment, on compromised devices, without a network, with expired credentials, with an outdated version, or in an inadequate technical environment will be synchronized without delays, inconsistencies, the need for reprocessing, or subsequent validation.
7. Orders, notes, reservations, confirmations, checklists, and forms
7.1. The records made in PM RUN, including orders, notes, reservations, confirmations, checklists, measurement documents, forms, approvals, rejections, attachments, images, videos, and messages, may make up the operational history, evidence of execution, audit trail, technical support, integration basis, and maintenance documentation.
7.2. The User is responsible for ensuring that records of execution, time, status, machine stoppage, justification, materials, measurements, safety, checklists, forms, and other information reflect the actual situation observed in the field.
7.3. PM RUN may require additional approvals, validations, attachments, forms, or confirmations according to the rules configured by the Customer. The absence of a system block does not exempt the User from complying with the applicable internal, technical, and legal standards.
7.4. The generation of PDFs, reports, attachments, or approval records does not make PM RUN/ITSS responsible for the technical content, the accuracy of the information, the adequacy of the execution, or the operational decision of the Customer.
8. Files, images, videos, chat, and free-text fields
8.1. PM RUN may allow the upload, storage, query, or linking of files, images, videos, PDFs, chat messages, descriptions, justifications, and other information in free-text fields, according to the enabled modules and permissions.
8.2. The User must enter only files and content necessary for the operational purpose, avoiding excessive personal data, unnecessary sensitive data, personal documents, third-party information without authorization, images of people without necessity, industrial secrets unrelated to the activity, and offensive, unlawful content, or content incompatible with the maintenance process.
8.3. The Customer is responsible for guiding its users on the permitted content, the classification of information, the handling of images of people or facilities, document retention, and the possible need for internal notices, authorization, or a legal basis for the use of geolocation, images, video, chat, and operational records.
8.4. PM RUN/ITSS may remove, block, preserve, or make content available upon request from the Customer, for security needs, a legal obligation, an order from a competent authority, an incident investigation, or a contractual provision.
9. Geolocation (when available, contracted, or enabled), logs, and audit trails
9.1. PM RUN may record access logs, login and logout attempts, audit logs, integration logs, error logs, synchronization events, configuration actions, data changes, approvals, rejections, records of user, date, time, status, environment, version, IP, device, geolocation when enabled, and other elements necessary for traceability, security, support, auditing, and execution of the agreement.
9.2. Geolocation, when enabled, has an operational and traceability purpose for confirmations or maintenance activities, in accordance with the Customer's configuration, authorization, and policy.
9.3. The logs and records may be used for the investigation of failures, support, integrity, auditing, fraud prevention, compliance, handling of requests from the Customer, the regular exercise of rights, responses to authorities, and improvement of the Solution.
9.4. Attempting to delete, tamper with, circumvent, or impair logs and audit trails constitutes a serious violation of these Terms, without prejudice to the applicable contractual, disciplinary, civil, administrative, and criminal measures.
10. Privacy and protection of personal data
10.1. The processing of personal data related to the use of PM RUN will observe the applicable Privacy Policy, the General Personal Data Protection Law (LGPD), the Marco Civil da Internet (Brazilian Internet Civil Rights Framework), and other applicable rules.
10.2. As a rule, in the context of corporate use of PM RUN, the Customer acts as the Controller of the personal data of its users and other data subjects that may be involved, and is responsible for decisions about purposes, legal bases, access profiles, configurations, retention, deletion, internal guidance, and responses to data subjects, unless otherwise provided in the agreement.
10.3. PM RUN/ITSS acts, as a rule, as the Processor of personal data on behalf of the Customer, processing data in accordance with documented instructions, the agreement, the purpose of the solution, support, maintenance, security, integration, hosting, performance of services, and applicable legal obligations.
10.4. Among the personal data that may be processed in the context of PM RUN are, as applicable: name, registration number, corporate email, access credentials or identifiers, profile, photo, login and logout records, logs, IP, device, date and time, actions performed, geolocation when enabled, messages, attachments, images, videos, documents, confirmations, approvals, and other information entered by the User or by the Customer.
10.5. The User must not enter third-party personal data, sensitive data, or excessive information into PM RUN, except where strictly necessary, authorized, and consistent with the operational purpose and with the Customer's guidance.
10.6. Requests from personal data subjects should preferably be forwarded to the Customer, in its capacity as Controller. When received by PM RUN/ITSS, they may be directed to the Customer or handled in accordance with the agreement, the Privacy Policy, and applicable legislation.
10.7. PM RUN/ITSS informs that, in accordance with the applicable Privacy Policy, PM RUN does not use automated decision-making that impacts the User autonomously.
11. Information security
11.1. PM RUN/ITSS adopts reasonable technical and organizational measures consistent with the nature of the solution to protect information against unauthorized access, loss, alteration, improper disclosure, abusive use, unavailability, and security incidents.
11.2. The security measures may include, as applicable, access control, authentication, authorization profiles, logs, audit trails, encryption in transit, an SSL/TLS certificate, segregation of environments, hosting on the infrastructure of a specialized third party, support controls, traceability, restriction of internal access, and incident response procedures.
11.3. The security of PM RUN also depends on the actions of the Customer and the Users. Adequate management of credentials, devices, network, SAP, integrations, permissions, internal policies, MDM when applicable, updating of the app, vulnerability management, and user guidance are indispensable.
11.4. PM RUN/ITSS will not be responsible for failures, losses, or incidents arising from the exclusive fault of the Customer, the User, or third parties, including password sharing, social engineering, an infected device, an insecure network, use outside the authorized environment, improper configuration of integrators, unavailability of the customer's SAP, an unstable connection, excessive permissions granted by the Customer, or unforeseeable attacks that exceed reasonable security measures.
11.5. The User must immediately report to the Customer and through the official channels any suspicion of an incident, leak, improper access, loss of a device, exposure of credentials, permission error, incorrect attachments, improper geolocation, relevant synchronization failure, or anomalous behavior of the Solution.
12. Availability, support, maintenance, and updates
12.1. The availability, support, corrective maintenance, development, updating, service, maintenance windows, and service levels of PM RUN will observe the agreement entered into with the Customer and the official support channels that may be indicated.
12.2. PM RUN may undergo updates, fixes, improvements, security adjustments, layout changes, feature changes, module evolution, error corrections, legal adaptations, integration adjustments, and scheduled or emergency maintenance.
12.3. Some updates may require compatibility of the device, operating system, browser, SAP environment, integrator, network, permissions, or a minimum version of the app. The Customer and the User must observe the technical guidance provided.
12.4. PM RUN/ITSS does not guarantee uninterrupted, error-free operation or operation compatible with environments, devices, versions, customizations, connectivity, or integrations that are not approved, not reported, or not contracted.
13. Intellectual property
13.1. PM RUN, including the software, app, portal, modules, screens, interfaces, layout, brand, logo, workflows, architecture, documentation, manuals, know-how, source code, models, structural databases, integrations, standard configurations, technical content, improvements, updates, and other components, is protected by intellectual property rights and belongs to PM RUN/ITSS or to its licensors, as applicable.
13.2. The agreement with the Customer grants only a limited, revocable, non-exclusive, non-transferable, and conditional right to use the Solution, in accordance with the contracted modules, users, environments, terms, quantities, and scope.
13.3. It is prohibited to copy, reproduce, sell, sublicense, assign, lease, distribute, exploit, modify, translate, create a derivative work, perform reverse engineering, decompile, attempt to extract source code, replicate features, capture screens for competitive purposes, use internal information to develop a similar solution, or allow access by competitors without express authorization.
13.4. The Customer's operational data, content entered by its users, and records originating from its processes belong to the Customer or to the respective data subjects, without prejudice to the rights of PM RUN/ITSS over the Solution and its technological components.
14. Third parties, hosting, app stores, and external services
14.1. PM RUN may depend on third-party services for cloud hosting, infrastructure, database, monitoring, certificates, app stores, SAP, integrators, email, maps, notifications, operating systems, browsers, and other technical components necessary for the operation of the Solution.
14.2. Use of the mobile app may also be subject to the rules of Google Play, the Apple App Store, operating systems, device manufacturers, and the Customer's corporate MDM or device management policies.
14.3. PM RUN/ITSS is not responsible for unavailability, changes, restrictions, policies, incidents, failures, or interruptions caused by third parties beyond its reasonable control, without prejudice to its contractual duties of diligence, communication, and support when applicable.
15. Limitation of liability
15.1. To the maximum extent permitted by applicable law and by the agreement entered into with the Customer, the liability of PM RUN/ITSS is limited to direct damages demonstrably caused by a failure attributable to the Solution, subject to the limits, exclusions, terms, and conditions set forth in the applicable agreement.
15.2. PM RUN/ITSS will not be responsible for indirect damages, lost profits, loss of production, loss of revenue, loss of opportunity, industrial stoppage, operational failure, reputational damage, regulatory penalties of the Customer, erroneous technical decisions, incorrectly entered data, misuse, non-compliance with internal procedures, SAP failure, network failure, device failure, integrator failure, acts of third parties, fortuitous events, force majeure, or events beyond its reasonable control, except where there is a contractual or legal provision to the contrary.
15.3. PM RUN does not replace inspections, physical lockouts, safety procedures, work permits, risk analyses, engineering validations, regulatory approvals, training, PPE, CPE, or other controls required by legislation and by the Customer's policies.
15.4. The User acknowledges that system records are instruments of support and traceability, but the safe and adequate execution of maintenance activities depends on qualified human assessment, compliance with procedures, and actual field conditions.
16. Suspension, blocking, and termination of access
16.1. The User's access may be suspended, blocked, or revoked upon request from the Customer, contract termination, change of profile, termination of employment, security risk, violation of these Terms, legal determination, the Customer's contractual default, or justified technical need.
16.2. The termination of the User's access does not automatically delete logs, records, documents, attachments, orders, notes, confirmations, approvals, messages, audit trails, or other information necessary for the performance of the agreement, legal compliance, security, auditing, defense of rights, or retention defined by the Customer.
16.3. In the event of termination of the agreement with the Customer, the availability, reading, export, retention, elimination, or migration of data will observe the applicable agreement, the Privacy Policy, the legislation, and the technical and commercial conditions agreed upon.
17. Confidentiality
17.1. The User must keep confidential all confidential, technical, commercial, operational, industrial, strategic, financial, security, integration, code, architecture, customer, supplier, contract, process, plant, asset, order, note, measurement, document, and data information accessed through PM RUN.
17.2. The confidentiality obligation remains even after the termination of the User's access, termination of employment, end of the provision of services, or termination of the agreement between PM RUN/ITSS and the Customer.
17.3. It is prohibited to use information obtained in PM RUN for one's own benefit, the benefit of third parties, the benefit of competitors, or for the development, specification, configuration, training, validation, approval, architecture, backlog, workflow, integration, user journey, documentation, or creation of a competing or similar solution, except with express and formal authorization.
18. Auditing, evidence, and cooperation
18.1. PM RUN/ITSS may keep technical and operational records necessary to demonstrate access, use, security, support, integration, auditing, compliance, performance of the agreement, and the regular exercise of rights.
18.2. The Customer may request information and evidence within the applicable contractual, technical, legal, and security limits, subject to confidentiality, data segregation, protection of third-party information, and technical feasibility.
18.3. When necessary, the parties must cooperate in good faith to investigate incidents, errors, integration inconsistencies, log discrepancies, synchronization failures, improper access, or relevant events related to the use of the Solution.
19. Changes to these Terms
19.1. PM RUN/ITSS may update these Terms to reflect legal, regulatory, technological, contractual, security, feature, architecture, module, or Solution practice changes.
19.2. The current version may be made available on the platform, in the app, on the portal, by communication to the Customer, or by another appropriate means. Continued use after the new version is made available constitutes awareness and acceptance, unless otherwise provided in the agreement.
19.3. Material changes that substantially impact rights, duties, privacy, security, or responsibilities may be communicated to the Customer through the applicable contractual channels.
20. Applicable law and jurisdiction
20.1. These Terms are governed by the laws of the Federative Republic of Brazil, especially by civil, contractual, intellectual property, data protection, and information security legislation, the Marco Civil da Internet, and other applicable rules.
20.2. Subject to the agreement entered into with the Customer, the courts of the District of Goiânia/GO are elected to settle disputes related to these Terms, with waiver of any other, however privileged, except for a specific contractual provision to the contrary or a legal scenario of mandatory jurisdiction.
21. Contact channels
21.1. For questions related to the operational use of PM RUN, the User should preferably contact the responsible administrator at the Customer or the support channel indicated in the agreement.
21.2. For privacy and data protection matters, the channels indicated in the current PM RUN Privacy Policy may be used, subject to the role of the Customer as Controller and of PM RUN/ITSS as Processor, when applicable.

Annex I – Best practices for users
- Use your own account. Never share a password or an unlocked device.
- Check orders, notes, equipment, functional location, materials, and measurements before confirming or synchronizing.
- Record only information that is true and necessary for the maintenance activity.
- Avoid attaching personal documents, photos of people, or sensitive information without operational necessity.
- In the event of a synchronization error, loss of a mobile phone, suspicion of improper access, or incorrect data, immediately notify the responsible administrator.
- Do not change settings, integrations, or profiles without authorization.
- Observe occupational safety standards and internal procedures. The app does not replace technical assessment in the field.
22. Version, effectiveness, and update history
22.1. These Terms of Use take effect on the date they are made available on the platform, on the portal, in the mobile app, or through another official PM RUN channel, replacing any previous versions made available for the same purpose.
22.2. The current version of these Terms must be observed by all authorized Users, without prejudice to the specific conditions set forth in the agreement entered into between PM RUN/ITSS and the Customer.
22.3. Continued use of PM RUN after these Terms are made available constitutes awareness and acceptance of their conditions, except in cases where express acceptance is required by means of a checkbox, a confirmation button, an electronic record, a formal communication, or another equivalent mechanism.
22.4. PM RUN/ITSS may update these Terms whenever necessary to reflect legal, regulatory, contractual, technological, operational, information security, data protection, feature, module, integration, or Solution practice changes.
